Policies

 

Gameacon intends to provide a space for indie devs to show their stuff, network with peers and for everyone to have a great time.  To this end, Gameacon is setting forth some guidelines for behavior that will contribute to that goal.  In general, the rules are there to ensure that the behavior of any individual or group on individuals will not disturb the attendance as a whole nor detract from the atmosphere of the conference. To this end, Gameacon's producers reserve the right to deny or revoke the right to attendance when an individual's presence or behavior causes significant interference with the con's operations or adversely affects the organization's relationship with its guests or with its venue. The determination of such behaviours is solely in the management's discretion. Gameacon reserves the right to amend these rules at any time without prior or posted notice. Tickets are non-refundable - We will apply your payment for an upcoming Gameacon and allow you to attend with no additional purchase necessary.  

Your agreement

Anyone who accepts a Gameacon badge agrees to indemnify and hold harmless Gameacon and Gameacon's producers or staff from any claim for personal injuries or other damages or equity arising out of an individual's activities at Gameacon, even if such injury or damage is caused by negligence by or on the part Gameacon. 

Family Friendly Atmosphere

Game fans come from of all ages and from all walks of life, and we want young game fans and their parents to feel comfortable while at Gameacon.  Please keep all dress and activities "PG-13" at all times, with the exception of events or exhibits that are specifically noted to be inappropriate for minors. Gameacon cannot take responsibility for the actions of individual attendees nor will Gameacon assume responsibility for minors. A minor is defined as a person under 18 years of age who has not been legally emancipated from his or her parents. 

 

Safety of People

Real weapons will not be welcome at Gameacon.  Prop weapons require prior approval.  Please do not carry concealed weapons into the con, even if they are only costume props.  If constructing a prop, please err on the side of caution and contact us ahead of time for approval.

 

Zero Tolerance for Disrespect

Any form of harassment, whether it is based on gender identity/expression, race, sexual orientation, disability, physical appearance, or religion, will not be tolerated at Gameacon. This includes verbal, physical, psychological or sexual.  Here are some helpful definitions:

Sexual Harassment: The following actions are considered inappropriate and may be considered sexual harassment. Teasing, jokes, innuendo, photos/images, gestures of a sexual/unwanted nature. Touching or grabbing of a sexual nature. Repeatedly standing too close to or brushing up against a person. Giving gifts of a sexual/unwanted nature

Physical Harassment: Physical contact in an unwanted way toward another individual. 

Psychological Harassment: Unwarranted hostile behavior, threats, or intimidation made toward another individual.

 

Harassment of any kind, including but not limited to: physical assault, sexual assault, battery, deliberate intimidation, stalking, or unwelcome physical attentions, will not be tolerated. If a person says "no" or asks you to leave them alone, your business with them is done. Do not follow them or attempt to disrupt their festival experience in any way. If you continue to attempt to have contact with those people, you may have your badge revoked and may be removed from the premises.  Gameacon is not responsible for mediating any interpersonal problems that may arise between individual attendees. If an individual stalks, harasses, or attempts to assault you at the festival itself, please report that individual to a member of the security staff and appropriate action will be taken.

 

Safety of Equipment

Gameacon will be hiring security to watch over the exhibition hall at hours when the con is closed.  However, neither Gameacon nor its venue can be held responsible for any equipment damage or theft.  Please note that any equipment intended for public use may be subject to normal wear and tear. 

 

Posted Materials 

The staff reserves the right to remove any posted materials that are considered inappropriate or may reflect poorly on the festival as a whole. Do not affix anything to or write on the walls of the hotel or the directional signs placed by Gameacon, including in the elevators. Hotel staff is authorized to remove any unauthorized postings on sight.

 

Sales of Merchandise.

You are welcome to sell your merchandise. However, please note that it is illegal to sell merchandise or services in any area of the hotel not designated for such activity. Such actions constitute "illegal solicitation," and may result in the perpetrator being removed from hotel grounds.

 

Promotional Material Policy

By participating in or attending Gameacon you are granting your permission to be photographed or recorded. By purchasing your badge you inherently grant Gameacon permission to use such images or footage for archival or promotional purposes. 

 

Photography Policy

Photographers are not permitted to bring in any lighting equipment such as light poles, etc.  No photographer may charge for photo sessions during the duration of the convention.  Any photographs taken during the convention or at the site of the convention during the duration of the con are owned by Gameacon and may be used for any purpose Gameacon desires.

 

Payments to Gameacon

Gameacon accepts cash and credit card payments through our registration system. We will attempt to resolve any dispute involving a credit card payment to Gameacon following the tenets of good faith and fair dealing. Chargebacks (denying payment to a credit card company for a specific charge) that are made for the sole purpose of avoiding payment, made without sufficient cause, or that are made without first attempting to resolve the dispute with Gameacon may result in permanent revocation of attendance privileges and possible legal action. Attendees who have an outstanding balance due to Gameacon must settle that balance before being permitted to attend the festival. Gameacon will not be involved in any financial disputes between individual attendees, and cannot divulge information about an individual attendee to any party other than to banking officials or legal authorities acting on a legal order.

 

Miscellaneous Notes

 

Responsibility for incidents occurring in hotel guest rooms rests solely upon the individual in whose name the room is rented. This includes payment for any and all damage, whether caused intentionally or unintentionally (such as from hanging something on a sprinkler head. Don't do that.). Please note that if Gameacon is provided with sufficient evidence to suggest that illegal activities, particularly those that may cause harm to another person or to the well-being of the festival as a whole, will be taking place in a hotel room, we have both a civic and a moral responsibility to report such information to the appropriate authorities.

 

All Applicable Local, State, and Federal Laws Must Be Obeyed While in Attendance at Gameacon. Please be reminded that these rules involve, of course, "worst-case" scenarios and are put into place to ensure the safety and comfort of our attendees. We anticipate no difficulties, as our attendees as a whole are rational and responsible individuals. We thank our attendees for their past cooperation and for their continued assistance in making this a safe and enjoyable experience for everyone. Have fun - please be courteous of those around you.  Above all please be respectful of others in the video game community, we are a community of friends.
