Gameacon Vendor, Artist & Creator Agreement & Policies (2026)
By buying a Physical Space, Digital Listing, or Industry Pass for Gameacon (October 16–18, 2026 at The Shops at Palm Desert), you agree to the following legally binding terms:
I. MASTER POLICY (Applies to ALL Registrants)
ALL SALES ARE FINAL. No refunds will be issued for any reason, including turnout, weather, personal emergencies, or "lack of results." Chargeback Waiver: You expressly agree not to initiate a chargeback or payment dispute. Any attempt to reverse payment is a breach of contract and may result in legal action. No Guarantees: Gameacon does not guarantee attendance, specific floor placement, sales, or digital traffic. Participants accept full responsibility for their own performance. Transfer Terms: Space may be transferred to another approved creator ONLY with written consent from Gameacon no later than four weeks prior to the event. Space may not be resold for profit. Force Majeure: If the event is canceled due to circumstances beyond our control, a credit may be issued toward a future event at our sole discretion. Conduct & Safety: Professional behavior is required. Harassment results in immediate removal without refund. Items must be family-friendly. Gameacon and the venue are not liable for lost, stolen, or damaged property.
II. FOR PHYSICAL SHOWCASE PARTICIPANTS ($295) Space & "BYO" Setup: Registrations are for floor space only. This is a "Bring Your Own" setup—you must provide your own tables, chairs, signage, and displays. Setups must stay within your assigned footprint and not obstruct aisles or fire exits. Mandatory Attendance: You must be present Saturday (11am–8pm) and Sunday (11am–6pm) to be eligible for the Crystal Awards. Power & Electricity: Electricity is not guaranteed and is not included. Access depends on mall infrastructure. Lack of power is not grounds for a refund. Crystal Awards: Awards are determined by independent judges or fan voting. Gameacon is not responsible for judges' choices and is not liable for winners chosen. You waive all claims regarding award outcomes.
III. FOR STEAM DIGITAL SHOWCASE PARTICIPANTS ($150) Listing Platform Only: Gameacon provides the listing and event block placement only. We do not guarantee downloads, wishlists, or traffic. Once your game is listed on Steam, the service is fully rendered. No Physical Space: This tier is digital-only. It does not include a physical footprint or on-site judging. Technical Liability: Gameacon is not responsible for Steam platform outages or Valve’s content rejection.
IV. FOR INDUSTRY PROFESSIONAL PASS HOLDERS ($299) Access Only: This pass provides entry to B2B Industry Day and the creator floor. We do NOT guarantee that you will make a specific connection, contact, or hire. Non-Exhibiting: This pass is for networking only; it does not include display space or a Steam listing. Purchase confirms you have read, understood, and accepted this agreement.
